πŸ” AI Audits for Small & Mid-Sized Businesses

Find the 2–3 places
AI would actually save you hours.
Before you spend a dollar building it.

Most businesses don’t need more AI tools. They need to know which ones are worth the time β€” and a clear set of rules for how their team should use them. Our AI audit is a 3-week deep-dive that ends with two things: an AI policy your team can follow tomorrow, and a roadmap for implementing the automations that actually move the needle.

WHY AN AUDIT BEFORE BUILDING

A lot of AI projects stall before they pay for themselves. And most teams are already using AI with no rules in place.

Not because the tools don’t work β€” they do. But sometimes the workflow was never the real bottleneck, or the data needed cleanup first, or the ROI didn’t justify the monthly cost. Meanwhile your team is probably already pasting client info into ChatGPT without a policy telling them what’s okay and what isn’t. An audit catches both problems before they become expensive.

We look at how leads actually come in, how your team spends their week, what’s sitting in your inbox, where revenue leaks β€” and where AI is already being used (with or without your knowledge). Then we deliver two documents: an AI usage policy your team can follow starting tomorrow, and a roadmap of the 2–3 automations worth building, with cost and timeline for each.

🧭

What we look at

Four areas, mapped against how your business actually runs day-to-day.

OPERATIONS

Data & workflows

Where your team is re-typing the same info across tools, what’s falling between CRM and inbox, which handoffs are fragile. We map the end-to-end path of a lead, an invoice, and a client.

We examine: CRM Β· spreadsheets Β· inbox Β· calendar Β· billing

MARKETING

Content & campaigns

How much time goes into social, blog posts, email, and ad copy β€” and where AI could take 80% of the draft off your team’s plate without sounding generic. We listen to your voice first.

We examine: social Β· blog Β· email Β· ads Β· landing pages

OUTREACH

Sales & follow-up

What happens in the first 5 minutes after a lead comes in, and in the next 14 days if they don’t convert. We find the leaks: missed calls, unanswered WhatsApps, follow-ups nobody sent.

We examine: lead intake Β· follow-up Β· quotes Β· proposals

CUSTOMER

Service & comms

How questions get answered across phone, email, WhatsApp, and reviews β€” and where response time is actually costing you business. Multi-language assessment where relevant.

We examine: phone Β· email Β· WhatsApp Β· reviews Β· FAQs

How the audit runs

Three weeks, four steps, two deliverables. No fluff phases.

1

Kickoff call

90 minutes, founder-led. We walk through your business, your team, the tools you use, and what’s been pissing you off. You give us read-only access to the systems we need to see.

Day 1

2

Deep-dive review

We shadow a week of your real data β€” call volume, email threads, review response times, content production, lead-to-close path. We talk to 2–3 of your team members. No guessing.

Days 2–12

3

ROI modeling

For every opportunity we find, we model it: hours saved per month, revenue protected, cost to build, cost to run. If the math doesn’t work, the opportunity doesn’t make the report.

Days 13–17

4

Policy + roadmap delivered

Two documents, delivered as PDFs, plus a 60-minute walkthrough call. A ready-to-adopt AI usage policy for your team, and a prioritized implementation roadmap with costs, timelines, and build-vs-skip calls. Yours to keep.

Day 21

WHAT YOU WALK AWAY WITH

Two documents. One tells your team how to use AI safely. The other tells you what to build.

Together they cover both sides of AI in a small business: the ground rules for how it’s used day-to-day, and the strategic plan for where it’s worth investing. Both are written specifically for your business β€” no templates, no generic frameworks.

BOOK THE AUDIT
πŸ“‹
An AI usage policy your team can adopt tomorrow
What tools are approved, what data can and can’t go into them, how to handle client info, who signs off on AI-generated work. Written in plain English, not legalese.
πŸ—ΊοΈ
A 90-day implementation roadmap
The 2–3 automations worth building, ranked by ROI, with hours saved per month, cost to build, cost to run, and sequencing so the highest-value work ships first.
βœ“
A list of things not to automate
With reasons. Half the value of an audit is what it tells you to skip.
βœ“
A data & tooling readiness assessment
Honest look at what needs to be cleaned up before any AI sits on top of it. Often the real work.
βœ“
Build-vs-buy recommendations for each opportunity
Off-the-shelf tool, custom build, or hybrid. With specific vendors named where relevant.
βœ•
A vague “AI strategy framework”
No 40-page decks of generic AI trends. No “pillars.” Every page of both documents is specific to your business.

WHAT HAPPENS AFTER

Most businesses we audit end up building 2 things, skipping 3, and fixing their CRM first.

Here’s roughly what the numbers look like across the audits we’ve run in the last year.

~12 hrs

Average weekly hours saved once the recommended automations ship. Most of it is owner or manager time.

3 of 5

Of the AI ideas owners brought into the kickoff, on average, we end up recommending against. For real reasons.

3 weeks

From kickoff to delivered policy and roadmap. No drift, no “let’s schedule a re-scope call.”

QUESTIONS FROM BUSINESS OWNERS

The stuff people ask before booking.

How much does the audit cost?βˆ’
Flat fee, quoted on the free 30-minute consult based on the size of your business and how many tools we need to review. For most small and mid-sized businesses it lands in a predictable range β€” and we’ll tell you before you commit. If you decide to have us build the recommendations afterward, the audit fee is credited against the build.
What actually goes into the AI policy?+
A short, plain-English document β€” usually 4–6 pages β€” covering: which AI tools are approved for your team, what types of data can and can’t be pasted into them (especially client info), how AI-generated content gets reviewed before it goes out, who’s responsible for each category of use, and what to do if something goes wrong. No legal jargon. Written so a new hire can read it in 10 minutes and know exactly what’s expected.
Can’t I just figure this out myself with ChatGPT?+
Honestly β€” for some businesses, yes. If you have the time to map every workflow, pull real usage data, model ROI against actual costs, and compare vendors, you don’t need us. The audit exists for owners who don’t have 40 hours to do that, and who’d rather pay a fixed fee to get it right than burn a year on projects that don’t stick.
What do you actually need access to during the audit?+
Read-only wherever possible: CRM, calendar, a sample of email threads, call logs, your review profiles, your social and analytics dashboards. We sign an NDA before anything. No write access, no changes to your systems during the audit β€” we’re looking, not touching.
Are you going to recommend a bunch of tools we have to pay for?+
We don’t take affiliate commissions from any vendor. If we recommend a tool, it’s because it’s the right fit for your situation β€” and we’ll always tell you when the free or cheaper option is good enough. A fair chunk of our audits end with “fix your existing CRM setup before you add anything new.”
Do we have to hire you to build the recommendations?+
No. The report is written specifically so any competent agency or in-house person could pick it up and build from it. We’d obviously love the build work if it’s a fit, but about a third of our audit clients end up building in-house or with someone else β€” and that’s fine.
We’re a small business. Is this overkill for us?+
Small is exactly who this is for. The audit is scaled for owner-operated and team-of-2-to-30 businesses. Enterprise-sized companies get enterprise consultants who charge six figures and deliver Gartner-style decks. We deliver a 15-page plan you can read in a sitting and act on the next day.
